USC Payroll Time and Attendance

The Payroll department at the University of South Carolina purchased an internet-based system (ITAMS) from Gold Key software to replace the paper timecard system used by the University.

The on-line system will provide employees and supervisors with enhanced information entry and retrieval options for time & leave reporting, and improve payroll processing time by streamlining the entry of time and leave information into the University Payroll system.

Computer Services programmers & analysts worked with Payroll and Gold Key analysts to develop the interfaces for the system.

How the system will work:

University employees will access the system using their VIP login. Inside ITAMS employees will enter time and leave information on electronic timesheets, and supervisors will approve hours and leave information electronically.  Information will be entered on a weekly or semi-monthly basis. ITAMS will also give employees and supervisors quick access to hours worked, and current leave balance and use summaries.

In situations where employees do not have access to a computer with a web browser, departments will be able to determine the best approach for access:

·        Departments can choose to designate individuals to serve as departmental timekeepers, responsible for entering time & leave information into Gold Key for users without computer access.

·        Departments can choose to designate computers to be used to access to the system.

We will use a staggered implementation approach where groups of departments will be rolled out in several stages.

However, the rollout groupings have not yet been determined.

Implementation is expected to begin in late spring or early summer of 2002.  A letter will be sent to department heads regarding the time & attendance system, and information sessions will be held with department contacts to discuss needs and expectations in greater detail prior to implementation.  Information will also be available from the payroll home page, which is under development. Training sessions will be scheduled closer to the rollout timeframes.

We wanted to meet with the network manager’s group to provide information about the system so that you can be thinking of things that may be necessary for your area. For example, employees who have an e-mail address will be asked to register their e-mail address in the University’s on-line directory. So, once the project is announced, your department employees may begin asking you questions about e-mail registration and access, in addition to questions about basic browser operations.
